Describe the shipment before requesting a quote
State origin, destination, frequency, dimensions, actual weight, stackability, handling, value, documentation and delivery constraints. Use representative lanes and volumes. A quote cannot be comparable when bidders assume different shipment profiles.
Understand the charging basis
Freight may use actual weight, volumetric or chargeable weight, vehicle rate, distance, pallet, container or shipment. Record the divisor or conversion, minimum charge, fuel mechanism, accessorial charges, taxes and validity. Test the total cost on real shipment examples.
Separate price from service capability
Evaluate transit commitment, pickup reliability, tracking, exception response, claims, capacity assurance and network fit independently from price. Define what evidence proves each claim. Then combine commercial and capability scores using an approved weighting.
Plan vehicle and load safely
Capacity is constrained by dimensions, payload, axle distribution, handling access, product compatibility and restraint. A pallet count based only on floor rectangles can be unsafe or infeasible. Confirm final loading plans with competent transport and safety requirements.
Control dispatch release
Connect picked order, packed unit, staging position, vehicle, driver, seal, documents and release authority. Define who may change the load and how shortages or damage are recorded. The driver should receive site and load instructions in a form that can be verified.
Protect proof of delivery
POD should identify order or shipment, delivery time, recipient and exceptions. Carrier-upload time is not necessarily delivery time. Preserve photographs, shortage or damage acknowledgement and claims communication against the same reference.
Build a complete 3PL scope
A 3PL RFQ needs transaction volumes, SKU and order profile, storage and handling rules, systems, reporting, peak conditions, implementation, liability, change control and exit. Normalize rate cards through operating scenarios before selecting a provider.
Review total landed and failure cost
Include freight, duties where applicable, handling, insurance, delay exposure, inventory in transit, damage, claims effort and service failure. State which taxes are recoverable and which costs remain estimates. Decision makers need the assumption range as well as the result.
Put the framework into practice
Choose one process boundary, observe the work, reconcile the source record and close one repeatable control gap. Use the related tools and cases below to continue.
